JET has a vacancy for a Human Resources Administrator to support the Western Cape Systemic Testing Project. This fixed-term contract position is based at our Johannesburg office.
1. Overview
The services of a Head Office-based HR Administrator is required to provide comprehensive HR administrative support to the Western Cape Systemic Testing Project. This will include oversight of the Project’s HR policy adherence, recruitment compliance, document management, payroll processing, and HR reporting.
2. Key Responsibilities and Deliverables
A. HR Administrative Support
Deliverables:
Ensure adherence to organisational HR policies during the recruitment and appointment of approximately 1,600 short-term staff. Provide advisory support to the Project team and Consortium partner staff on HR compliance-related matters. Draw -up contracts and recommend necessary changes to draft employment contracts prior to CEO approval and signature. Update HR templates specific to Project needs (e.g., contracts, offer letters, onboarding checklists). Where requested, plan, prepare, and conduct HR induction sessions for the Project contract and the Consortium partner (Darkdata) staff. Schedule and lead regular HR coordination meetings with designated Project Team members to ensure submission of required HR documentation by agreed deadlines.
B. HR Filing and Documentation
Deliverables:
Create and maintain accurate personnel files in both electronic and manual formats as required.
Ensure all files are consistently updated in a timely manner with relevant employee documentation.
Coordinate with Project Team members to arrange couriering and follow-up processing of all HR documents.
C. Biweekly Payroll and Payments Processing
Deliverables:
Prepare and review biweekly HR invoices for Project staff.
Consolidate biweekly project-related payroll data into a single folder for monthly HR payment processing, under the direction of the HR General Manager.
Provide support in processing HR-related invoices as required.
D. HR Queries and Correspondence
Deliverables:
Respond to HR-related inquiries from Project staff and provide procedural guidance as needed.
Draft and issue employment confirmation letters upon request.
Maintain records of HR queries and resolutions for reporting purposes.
E. Compliance Support and Planning
Deliverables:
Support finance audit activities as they pertain to Project-related HR documentation and procedures.
Ensure all HR processes meet compliance and audit-readiness standards.
F. Recruitment Process Oversight
Deliverables:
Monitor and support recruitment activities to ensure alignment with agreed recruitment protocols.
Collaborate with the Cape Town-based Project team throughout the recruitment, interview, and appointment process for short-term hires.
G. Reporting & Attendance at Meetings
Deliverables:
Submit written monthly updates on Project-related HR activities as directed.
Attended project-related meetings as requested.
3. Duration
First year of Project delivery: 2 June - 31 December 2025.
4. Location
JET Head Office (i.e. Johannesburg-based), with remote contact with the Project’s Cape-Town-based team.
5. Requirements:
• National Diploma or Degree in Human Resource Management.
• Minimum 3–5 years’ HR experience in administration, recruitment, and payroll.
• Experience managing a high volume of employment contracts and payroll
• Proficient in Microsoft Office and Google Suite
• Basic knowledge of disciplinary process, Labour Relations Act, Basic Conditions of Employment Act
• Strong interpersonal and communication skills; ability to work independently on-site with minimal supervision.
· In-depth knowledge of HR principles, practices, and employment
• Experience in high-volume hiring is advantageous.

This is a mid-level position, and it is a full-time role.
The total cost to company per day is between R2000.00 - R2977.30 (inclusive of all taxes), depending on the level of experience.
